Pine Knot Cabins Policies For Cabin Rentals Near Broken Bow and Beaver's Bend



NOTE
Our cabins are individually owned and operated by nice folks just like yourself. We are their management company
and we act in their best interests so please be respectful of the cabins and treat them with care.

Following the policies below will ensure that everyone has a wonderful time during your stay at your cabin.
If you have any questions about our policies outlined below please feel free to call us directly.


RESERVATIONS
You must be 25 years or older to rent a cabin.
*Check-in time is 3:00 p.m. / Check-out time is 11:00 a.m. (Please do not try to check-in early unless we notify you. We always try to get our guests in early.)
*You will self check-in at the cabin. The KEYCODE is on your "Pre-Arrival Email" along with the DIRECTIONS.
3 Nights or less (The deposit is $100.00. This is NOT REFUNDABLE and will be applied to the remaining balance.)
4 Nights or more (The deposit is the cost of your first nights reservation. This is NOT REFUNDABLE and will be applied to the remaining balance.)
14 Days prior to your arrival date you will be charged the remaining balance minus the initial deposit.
Reservations made 14 days or less before arrival date must be paid in full at the time the reservation is made.
NO OVERCROWDING THE CABINS AND NO HOUSE PARTIES. Evidence of overcrowding or house parties are immediate grounds for eviction. You will be asked to leave and you will not be given a refund for unused nights.


PETS
Cabins that are PET FRIENDLY require a $50.00 non-refundable flat fee added to the reservation. Pets must weigh less than 25 lbs.
Pets are NOT ALLOWED at some cabins. If you bring a pet to a cabin that is not pet friendly you will be charged a $100 fine PER DAY and you may be asked to leave the property.
Please be courteous to the next guests and clean up after your pet when they go outside.
Excessive pet hair or waste left behind will result in an additional $50.00 cleaning fee.


SMOKING
There is ABSOLUTELY NO SMOKING allowed inside ANY of the cabins. Smoking detected inside the cabin will result in a fine of $100.00 per day. No exceptions.
Smoking is allowed outdoors and ashtrays are typically provided.


HOT TUBS
If soaps, lotions, creams, oils, rocks, dirt, toys, bubbles or food are detected in the hot tub you will be fined no less than $100.00 and up to an additional night stay to have the system cleaned and flushed.
Do not sit, stand or place heavy objects on the hot tub covers. Replacement costs can exceed $500.


TENTS / RV'S / ATV'S
No tents, RV's or ATV riding anywhere in the cabin areas.


FIREWORKS
Fireworks are not allowed anywhere in the cabin areas.


POSSESSIONS LEFT BEHIND
If you leave a personal item behind after your stay we will do our best to locate it, however we are not liable for items left behind. The cost to return items is $25.00 plus the cost of postage.


FIRE PIT / TREES
Please do not build fires outside of the fire pit.
Please do not cut down or damage trees of any size. Do not allow children to peel bark off the trees. You will be fined $500.00 for tree damage.


CLEANING FEES
Cleaning fees are charged at the time of your reservation. You may incur additional cleaning fees between $50-$100 if the cabin is not left in "tidy" condition.

- Place all dirty towels in the laundry area.
- Place all garbage in the outdoor trash cans before you leave.
- Place dirty dishes in the dishwasher and start it.
- Remove all food from the refrigerator and freezer.
- Pick up any cigarette butts or trash you left outdoors.
- Remove excessive pet hair from furnishings and floor.
- Furniture should be in its original place.


DAMAGES
Your cabin will be inspected thoroughly prior to your arrival. If you find something damaged, stained, missing or not working properly please report it to us immediately within the first few hours of your arrival.

Damages found or reported after your stay will be charged to the credit card on file.


CANCELLATIONS
Reservations cancelled 15 days or more from arrival will be refunded MINUS the initial deposit. Deposits are NOT REFUNDABLE.
(Mountaintop Lodge Only) - Reservations cancelled 30 days or more from the arrival date will be refunded. Cancellations made 29 days or less from the arrival date are non-refundable.
Cancellations made 14 DAYS or LESS from the arrival date will be charged the full amount and are non-refundable.
Reservations changes 14 DAYS or MORE from the arrival date will be charged a $25 change fee.
Reservations changes cannot be made and cabins cannot be switched within 14 days of the arrival date.
"No-shows" will be charged the full amount of the reservation.
No cancellations will be accepted due to inclement weather and early departures will not be refunded.
ALL CANCELLATIONS MUST BE MADE IN WRITING (E-MAIL, FAX or CERTIFIED MAIL).


AGENCY DISCLOSURE
Pine Knot Cabins, L.L.C., serves as the agent & representative of all property owner(s) in its rental program, & is acting at all times, in and for the best interests of the property owner(s).


INDEMNIFICATION AND HOLD HARMLESS
Guest(s) agree to indemnify and hold harmless the Owner & Agent(s) for any liabilities, theft, damage, cost or expense whatsoever arising from or related to any claim or litigation which may arise out of or in connection with Guest(s) use & occupancy of the rental property. This is including, but not limited to, any claim or liability for personal injury or damage or theft of property which is made, incurred or sustained by Guest(s). The terms "Agent" & "Owner" as used in this Agreement shall include their heirs, successors in interest, assigns, employees, agents, and representatives where the context requires or permits. The terms "Guest(s)," "Licensee of Guest(s)" as used in this Agreement shall include Guest(s) heirs, successors, assigns, guests, invitees, representatives and other persons on the rental property during Guest(s) occupancy (without regard to whether such persons have authority under this Agreement to be at the rental property), where the context requires or permits.


VIOLATING AGREEMENT & EXPEDITED EVICTION
Agent may terminate this Agreement if Guest(s) violates any of the conditions set forth herein. Upon notice of termination of this Agreement, Guest(s) shall vacate the Premises immediately and forfeit all rents. A material breach of this Agreement by Guest(s), which, in the sole determination of the Agent, results in damage to the Premises, personal injury to Guest(s) or others, a breach of the peace, a nuisance to others, or a violation of criminal law or local code, shall be grounds for termination of Guest(s) tenancy. Violation of any of the rules contained herein will result in IMMEDIATE EVICTION & forfeiture of rent.


DENYING PAYMENT, ADDITIONAL FEES, or FINES
If Agent must obtain legal advice or counsel for matters arising from payment discrepancy involving a Guest(s) or Payment vendor such as a credit card company, Agent will seek rightful payment or collection. If disputes are transferred from Agents management to a collection team or attorney, Guest(s) of record will become responsible for all charges proved to be their responsibility including cost of collection services.


DISPUTES
This Agreement shall be governed by and interpreted in accordance with the laws of the State of Oklahoma, and shall be treated as though it were executed in the County of McCurtain, State of Oklahoma. Any action relating to this Agreement shall be instituted and prosecuted only in the McCurtain County District Court, Oklahoma. Guest(s) specifically consents to such jurisdiction and to extraterritorial service of process.


CREDIT CARD GUARANTEE & ACCEPTANCE
By submitting a reservation over the internet or by phone Guest has entered in to a binding contract outlined by the Terms and Conditions of this Agreement. Upon submission Guest is authorizing "Pine Knot Cabins, L.L.C. d/b/a Pine Knot Cabins" to bill charges relating to the rental and use of property. Guest accepts and understands all liability and costs associated with damage due to guest(s) negligence, misuse of property and/or missing items. Additional charges will be billed to the Guest(s) credit card kept on file for security. All credit card sales are final. Guest(s) understands and agrees to the refund and cancellation policies outlined herein.
